2. HOW TO ORDER DIGITAL IMAGES

Digital Images may be purchased through OhioPix or by mailing, faxing, or e-mailing an order form. Order forms may be downloaded at http://www.ohiohistory.org/resource/audiovis/photodup.html

The OhioPix e-commerce system allows users to purchase digital images and permissions online, eliminating the need for paper order forms and offering immediate delivery for those working on tight deadlines. To purchase images through OhioPix:

  • Log on to OhioPix at www.ohiohistory.org/ohiopix
  • Search or browse for images
  • Once you have found an image you are interested in, click on “Save/Purchase” on the left side of the page. Continue to search/browse for other images if you desire.
  • When you are ready to check-out, go into the “Detailed Information” view for any image. You will then see the “Step 2: Show Saved Items” link on the left.
  • Click on “Show Saved Items.” You will have the option to e-mail the list to yourself for use at another time. You may also remove any items you do not with to purchase at this time. Note: You may want to e-mail the full list to yourself, then remove items you do not wish to purchase.
  • Click on “Purchase” to begin the check-out process. You will then see a series of screens that will assist with determining your use fee. For more information on use fees, see: http://www.ohiohistory.org/resource/audiovis/photodup.html
  • You will then be directed automatically to the Ohio History Store for final checkout. For each image, you will see two charges, one for a use fee and one for the image itself. Even if the use fee charge is $0, please do not remove this item from your cart or you will not be able to download your images.
  • The Ohio History Store is the Ohio Historical Society’s main e-commerce portal. If you have not ordered with us before, you will need to create an account.
  • Once your order is placed, you will then have the option to download your image(s) immediately, or download them within 7 days. Before download, you will be asked to complete a use agreement. This is the standard agreement that accompanies all OHS image purchases. To review the agreement in advance, download a copy of the order form and turn to page 3.
  • Images may be downloaded up to five times for a period of seven days. Please remember to back-up your purchases the first time you download.

I am with a tax-exempt organization. May I order digital downloads online?

Yes. Tax-exempt users must be verified by OHS before purchasing online. Visit this page for more information about becoming a tax-exempt user.

How will I receive my images?

If you checkout online, you will be able to download images upon completion of the checkout process. Prints are shipped within 14 business days.

What quality of images will I receive?

Digital images are captured at a minimum of 400 dpi and are in TIFF format. High-resolution files purchased through e-commerce are the same size as those sent on CD or via FTP. Under some circumstances, requests for new scans of a higher quality may be available. Please contact us for more information

I’m on a tight deadline. Will I be able to use the images right away?

No. You will be able to download images and place them in your pre-publication layout, but final approval is conditional upon your receipt of a signed use agreement from the Ohio Historical Society. Use agreements will be mailed within five business days after receiving your order.

How long will I be able to download images after placing an e-commerce order?

Images can be downloaded up to five times within seven days of placing your order. Please be sure to back up your purchases upon download. Downloadable images are for one-time use only. If you would like to use the image for another publication, project, or related activity, you must apply for separate use permission.

3. PERMISSIONS-ONLY REQUESTS

I have a copy of the digital image, but I need to pay use fees for permission to use it. Can I order online?

No, not at this time. For permission-only orders, please download a photoduplication form and mail or fax it to us.

4. DETERMINING FEES

The Ohio Historical Society charges fees for the purchase of an image and the rights to use the image for a particular purpose (use fee). These funds cover the Society’s costs for providing photoduplication services, as well as the long-term care of the original historical materials.

Digital images downloaded from OhioPix are $25, plus applicable use fees. See http://www.ohiohistory.org/resource/audiovis/photodup.html for information on pricing for prints, shipping and use fees.

Use Fees are broken into four categories:

  1. Personal Research Use Only. Materials for personal use may be used for reference or research purposes or private display only. If you plan to use the image(s) for publication, exhibition, or other public use, select a different use category. (Private display includes in-home display or in private (non-public) areas of offices or businesses).
  2. Academic Use. Academic users who are affiliated with a university press and are publishing scholarly works. Non-profit and commercial users may only qualify for Academic rates if publishing a print run of 1,000 copies or less.
  3. Non-Profit Use. Non-profit users have 501(c)3 status and are using an image for non-commercial purposes. Ohio tax-exempt users must be verified before purchasing online. Museums, historical societies, libraries and philanthropic organizations are examples of non-profit users.
  4. Commercial Use. Commercial users will not have 501(c)3 status and will have a distribution of more than 1,000 copies. Commercial users are using images for projects such as the publication of textbooks, for-profit books, articles, DVDs, advertising or exhibition.

Will I be charged tax on images?

Ohio residents are charged 6.75% tax on digital files. Use fees are not taxable.

5. FINDING IMAGES IN OHIOPIX

How do I navigate this site?

There are three methods of navigation on this site:

  1. Browsing by Category
By selecting the People, Places, Events, or Objects tabs on the navigation bar at the top or bottom of the page, you can view images in the database that fit into those categories. These images are displayed in alphabetical order by title.

  2. Basic Search
The basic search enables you to search descriptive fields in the OhioPix image database. You may enter one or more words into the search box to search the title, description, and creator fields in our database. These fields are described below:

    • Title: A brief description of the image.
    • Description: A more detailed description of the events, people, objects, or places depicted in the image.
    • Creator: The person or entity responsible for creating the image. This can be a photographer, a business, a publisher, or other responsible person or organization.

    Examples:

    • Single word search: Enter a single word into the search box and click "Search". If you enter the search term Putnam in the search box, you will retrieve any records with the term "Putnam" in the title, description, or creator fields. An example is:

      Search Term: Putnam
      Example of a Record Retrieved:
      Title: General Rufus Putnam
Description: Portrait of General Rufus Putnam (profile), ca. 1880-1889. Putnam was a Revolutionary War veteran and member of the Ohio Company who helped to found Marietta, Ohio and open the Northwest Territory for settlement.

    • Multiple-word search: Enter more than one word into the search box and click "Search". It is not necessary to use Boolean qualifiers such as "and," "not," or "or." Simply enter the words you would like to use as search criteria. Examples are:

      Search terms: National Road
      Example of a Record Retrieved:
      Title: Construction on National Road
Description: Construction on National Road west of Zanesville, Ohio, 1913-1915.

  3. Advanced Search

The advanced search enables you to search the same descriptive fields as the basic search (title, description, and creator), but with the added convenience of limiting search results by date range, media process, media format, and Library of Congress subject headings. The advanced search is most useful for limiting large search results and searching for specific image dates, creators, or content.

To limit your results by media format or media process, enter the words for your search criteria, check the box to the left of the format or process, and click "Search". This will automatically limit your search results.

To limit your results by subject, enter the words for your search criteria, and click the subject headings box. An alphabetical list of all of the subject headings assigned to images will appear. Scroll to the appropriate heading, select it, and click "Search". This will automatically limit your results by subject.

To limit your results by date span, enter the words for your search criteria, click on the date span box, select the appropriate date of the image, and click "Search". The dates in this box are the dates that the photograph was taken, not necessarily the dates of the contents of the image. For example, a photograph of a building built in 1860 was taken in 1931. The image date span assigned to that image would be 1930-1939.

To search by Library of Congress subject headings, click on the subject headings box and scroll to an appropriate heading. An alphabetical list of all of the subject headings assigned to images will appear. Scroll to the appropriate heading, select it, and click "Search". You do not need to enter additional search criteria.
